About the Role:
Working Pattern: Typically 5 days in office, with core hours flexible between 8am-6pm.

Key Responsibilities:

  • Diary & Meeting Management – Organising meetings, capturing minutes/actions, and managing schedules effectively.
  • Confidential Administration – Handling sensitive information and delegated NEP responsibilities with discretion.
  • Email & Communication – Managing the Director’s inbox, screening calls, and handling daily correspondence.
  • Personal Support – Assisting with personal arrangements including travel, healthcare, expenses, and hospitality.
  • System Management – Submitting and approving requests through NEXT systems (NEP, FCM, Service Now, NIA, Concur).
  • Board Support – Providing cover for CEO/Main Board PA duties, including meeting minutes and action tracking.
  • Event Coordination – Organising on/offsite meetings, away days, and annual focus events, liaising with venues and managing budgets.
  • Office & Budget Management – Overseeing department budgets, cost centre reports, and recharges where necessary.
  • HR Process Support – Managing vacancies, budget approvals, 9-box grid maintenance, and work experience placements.
  • Departmental Management – Maintaining key documents such as Critical Path, Risk Register, and Cost Focus reports.
  • Compliance & Registers – Managing the department Gift Register and NSOB process in line with company policies.
  • Office Organisation – Acting as the key point of contact, maintaining notice boards, ordering supplies, managing meeting rooms, and overseeing office space.
  • People & Team Support – Line managing the department PA, providing development support, and ensuring training and team activities are up to date.


About You:
You will have proven experience as a Personal Assistant at a senior level, with the ability to provide high-level support in a fast-paced environment. Highly organised and detail-oriented, you take meticulous care and accuracy in everything you do, ensuring no detail is overlooked. You will need to demonstrate strong PC literacy, particularly with Google/G Suite, enabling you to work efficiently across multiple tasks and systems.

You will excel at building and maintaining strong working relationships with stakeholders at all levels, demonstrating a diplomatic and tactful approach when handling sensitive situations. Assertive and composed under pressure, you have a calm and controlled demeanor, allowing you to manage competing priorities with ease. Above all, you understand the importance of confidentiality and discretion, ensuring sensitive information is handled with the utmost professionalism.
